MeetMyRep helps sales reps share a link where customers can book a meeting, and puts those meetings on calendars. MeetMyRep is operated by Joe Smart (“we”, “us”). This page explains what information we collect, why, and the choices you have. Questions: support@meetmyrep.app.
It covers two kinds of people: reps (people with a MeetMyRep account) and customers (people who use a rep's booking link).
1. What we collect
From reps:
- Name, email address and password. The password is stored only as a one-way scrambled value (a hash); we cannot read it.
- Profile details you choose to add: company, role, territory, phone number, the brands you represent, a photo and a banner image, and your time zone.
- The trips you create (names, dates, days, areas), your booking links, and the email addresses of customers you invite.
From customers who book:
- Name, company and email address.
- The time slot chosen, the meeting location or restaurant preference typed in, and any notes.
- Names and email addresses of any extra attendees the customer adds.
- Their response to a meeting (confirm, decline, send a colleague, or ask for a virtual meeting) and any note with it.
Automatically: a cookie that keeps a rep signed in, and the routine records (logs) our hosting provider keeps when pages are requested. We do not run advertising or analytics trackers.
2. How we use it
- To run the booking pages and show reps their trips and bookings.
- To send the emails the service exists to send: booking confirmations, calendar invitations (.ics files), cancellations, customers' responses, and follow-up emails to customers a rep invited.
- To keep accounts secure, prevent misuse, and fix problems.
We do not sell your information, and we do not use it for advertising.
3. Connecting an Outlook calendar (optional, for reps only)
A rep can choose to connect their Microsoft Outlook calendar. Nothing is connected unless the rep does it, and customers never connect anything.
Permissions we ask Microsoft for: to sign you in and see your basic profile and email address; to keep working without asking you again (“offline access”); and to read and write your calendar.
What we read. Only the start time, the end time, and whether each calendar entry is busy, tentative, free, out of office, or all-day. We never ask for, see or store the title, location, attendees or notes of your entries. The times are looked up when needed and are not stored. We use them to:
- show you your busy times on your trip pages,
- warn you about conflicts while you build a trip, and
- if switched on, stop customers from booking a time when you are busy. Customers only see that the time is “Already booked”; they never see your calendar, why a time is unavailable, or anything about your entries.
What we write. If switched on, when a customer books we create a 60-minute appointment in your own calendar containing the customer's name, company and email, any notes and attendee names they entered, the meeting location, and a link back to the booking. We change its title when the customer responds and delete it if the booking is cancelled. Microsoft does not send invitations to anyone because of this.
What we keep. The access credentials Microsoft gives us for your connection, and the identifier of each appointment we created, so we can update or remove it.
We do not use information from your Microsoft account for advertising, we do not sell it, and we do not use it to develop or train artificial-intelligence models.
Disconnecting. You can remove MeetMyRep's access at any time in your Microsoft account's app-permissions settings (for a work or school account, through your organization's account page), or email us and we will delete the stored connection. Appointments already in your calendar stay there until you delete them.
4. Who we share information with
A customer's booking details go to the rep they booked with; that is the purpose of the service. We also use a few companies to run MeetMyRep. They handle information only to provide their service to us:
- Vercel hosts the website and stores uploaded profile images.
- A hosted database provider stores the account and booking records.
- Resend delivers our emails.
- Google (Maps Platform) suggests addresses: as someone types in the location box on a booking page, what they type is sent to Google through our server.
- Microsoft, only if a rep connects Outlook.
We may also share information if the law requires it, or to protect the safety and rights of people or the service.
5. Cookies
We use only the cookie needed to keep a rep signed in. We do not set advertising or tracking cookies.
6. How long we keep information
We keep an account and its information while the account exists. When a rep deletes a trip, the bookings on it are deleted. To delete your account or any information we hold about you, email support@meetmyrep.app. Emails and calendar files already sent cannot be taken back.
7. Security
The site uses encrypted connections (HTTPS), passwords are stored only as hashes, and access to the database is restricted. No system is perfectly secure, so please use a strong, unique password.
8. Your choices
You can ask us to show you, correct or delete the information we hold about you. Customers who booked a meeting can also contact the rep they booked with. Depending on where you live, the law may give you additional rights, and we will honor them. Contact us at support@meetmyrep.app.
9. Children
MeetMyRep is for business use and is not directed to children under 16. We do not knowingly collect their information.
10. Changes
If we change this policy we will update the date at the top. If a change is significant we will tell reps by email.
